A template is classified as a step-by-step workflow that gets saved for reuse.
Templates are set up for each task a worker needs to perform at a regular interval, e.g. daily or weekly. The workers can then simply open the template each day from their mobile device and complete the task without the administrator having to assign it each day, for example if a worker needs to complete a pre- and post-trip inspection each day.
Note: Make sure you create the template per site or custom group in order to ensure that the relevant recipients will receive the exception emails.
- Click Monitor.
- Under Task Management, click Templates.
- Click on the add icon located on the top right.
- Enter your template name.
- Enter a description.
- Add special instructions if relevant.
- Click Save.
- Add steps by clicking on the add step icon.
- You can check the box to "Add another step" if you want to be taken to the new step creation screen automatically or you can click the plus icon again to add more steps.
If you select a question with a numeric response you can restrict the number of digits by checking the relevant box and enter the maximum number of digits a worker can input.
- You can select whether a step must be mandatory and/or conditional.
For yes/no answers you can choose whether the step must be conditional, e.g. if a user answered "yes", he/she must also add a signature. See below for an example:
- You can also add exceptions for conditional steps, which will allow you to setup a notification on certain responses.
- You can choose to display a Task summary in the end.
- Click Save.
