For each workflow template, certain steps in a process can trigger immediate exception notifications via email to allow managers to action and resolve these issues without the unnecessary phone calls or retrospectively, when it may be too late.
You can flag a task step in a template as an exception which will then enable you to set up notifications on selected exceptions for multiple contacts.
When creating or editing a step in a template and returning to the template you can add exceptions by selecting "Exceptions".
More than one response in a task step can be marked as an exception.
Add exceptions to a template
Exceptions can be added to tasks within a template from the Add steps section when creating a template:
- Click the actions arrow next to any task on the template with a yes or no or yes, no or n/a response.
- Choose Exceptions.
- Select which of the responses should be marked as an exception - you can choose more than one.
- Choose if you want to notify recipients, by marking the appropriate check box. Email notifications allow a user to be notified when an exception has occurred after or during the completion of a task.
- If default site contacts have been set up, you can choose to send the notification to them and/or select specified individuals:
- You can select recipients from a list by clicking the Select recipients button. Filter by typing in the box above. Check the box next to each recipients name.
- Add new recipients if they do not appear in the list by clicking the link as shown below:
Manage exceptions
From the edit template page:
- Click the actions arrow next to the step with the exception.
- Click Exceptions.
- Edit responses by checking or removing checks from the boxes.
- Add email notifications by clicking on Select recipient.
- Remove email notifications by clicking the x next to the recipients' name:
- Click Save.
Action Exceptions
Tasks with a red dot next to them, have exceptions that have not been acted on.
- Click on Monitor.
- Under Task Management, click Tasks.
- Filter tasks by clicking the Exceptions filter on the left.
- Click on the actions arrow located on the right of the task.
- Click Action exception.
- Look for the task step containing the exception and click the actions arrow to choose the relevant action.
- Once an exception is actioned in MiX Fleet Manager the flagged icon turns green.
